Unable to Receive Faxes

Issue

Faxes can be sent, but cannot be received.
Try the following solutions in order. After completing each solution, try receiving a fax again to see if you resolved the error.

Solution one: Make sure the product was set up correctly

Make sure the fax is set up correctly by using one of the following three methods:

Method one: Run the Fax Setup Utility

Follow these steps to run the Fax Setup Utility from the computer.
  1. Open the Fax Setup Utility:
    • Windows XP: Click Start , point to All Programs , point to HP , and then select Fax Setup Utility .
    • Windows Vista: Click the Windows icon ( ), point to All Programs , point to HP , and then select Fax Setup Utility .

  2. Follow the on-screen instructions to configure the product.

Method two: Complete the Fax setup

Follow these steps to set up the fax from the product control panel.
  1. Press the Setup button ( ).
  2. Use the Arrow keys ( ) to select Fax setup , select Fax Header , select Fax send setup , and then press OK . Complete all the options from this menu.

Method three: Complete the fax setup from the manual

Follow these steps to open a new window to browse to the product manual:
  1. Right-click this link, Select Software and Drivers , and then click Open in New Window .
  2. If prompted, type your product number. You might also need to click it in a list of similar products.
  3. From the Product quick links section, select Product Manuals .
  4. Select Getting started guide to open it, and then follow the instructions on setting up the fax.

Solution two: Check the answer mode

If the phone rings, but the fax machine does not answer, make sure the answer mode is set correctly. Review the following five options to determine which solution applies to your setup.

Option one: Dedicated fax phone line

If you have a phone line that is not connected to any other devices (including and answering machine or another phone), follow these steps.
  1. Press the Setup button ( ).
  2. Use the Arrow keys ( ) to select System setup , select Fax recv. setup , select Answer mode , select Automatic , and then press OK .

Option two: Telephone answering machine

If you have a telephone answering machine (TAM) that shares the phone line with your device, follow these steps.
  1. Connect the answering machine to the auxiliary phone port on the back of the product.
  2. Press the Setup button ( ).
  3. Use the Arrow keys ( ) to select System setup , select Fax recv. setup , select Answer mode , select TAM , and then press OK .

Option three: Handset connected to product

If you have the handset connected to your product, and use your product as a telephone, follow these steps.
  1. Press the Setup button ( ).
  2. Use the Arrow keys ( ) to select System setup , select Fax recv. setup , select Answer mode , select Fax/Tel , and then press OK .

Option four: Distinctive ring service

The distinctive ring service permits you to assign more than one telephone number to the same line. When you subscribe to this service, each number has a different ring pattern. You can set up the product to answer incoming calls that have a specific ring pattern. If you have a distictive ring service provided by your telephone company, follow these steps.
  1. Set the distinctive ring setting (single, double, or triple) to match the ring pattern supplied with the fax number. If you are unsure of your ring setting, contact your phone provider to determine which pattern you have.
  2. Press the Setup button ( ).
  3. Use the Arrow keys ( ) to select System setup , select Fax recv. setup , select Answer mode , select Automatic , and then press OK .

Option five: Manual answer mode

You must be present to receive a fax in manual mode. The product does not answer calls until prompted.
To start the fax receiving process manually, press Start Fax during an incoming call, or pick up the call connected to the line and dial 1 -2 -3 .
  1. Press the Setup button ( ).
  2. Use the Arrow keys ( ) to select System setup , select Fax recv. setup , select Answer mode , select Manual , and then press OK .

Solution three: Check product settings, status and configuration

Make sure the settings, status, and configuration are correct for your product.

Private receive setting

Your product will display 'Private ' when Private receive is enabled. If you use the Private receive function, faxes are received, but are not printed. Faxes will remain in memory when Private recieve is on. If the faxes are not printed and the memory is full, the product will not answer incoming faxes.
Follow these instructions to print stored faxes.
  1. Press the Setup button ( ).
  2. Use the Arrow keys ( ) to select System setup , select Fax recv. setup , select Private receive , select Print faxes , and then press OK .
  3. Enter your PIN number, and then press OK to print the faxes.
    NOTE:If you do not know your PIN number, contact your system administrator.

Receive to PC setting

Check your settings for Receive to PC through ToolboxFX. If you did not install ToolboxFX when you set up the product, you will need to install that software to configure Fax to PC.

Step one: Download and install ToolboxFX

ToolboxFX is included in the Full Feature driver that accompanies this product. Follow these steps to download the driver and install it to your computer.
  1. Open a new window to browse to the Select Software and Drivers page:
    1. Right-click this link, Select Software and Drivers , and then click Open in New Window .
    2. If prompted, type your product number. You might also need to click it in a list of similar products.
    3. Click your operating system.
      The Select Software and Drivers page opens.
  2. Click HP LaserJet Full Feature Software and Driver .
  3. Click Install now . This option begins downloading the driver, then launches the software installation.
  4. Follow the on-screen instructions to install the Recommended type of installation.

Step two: Configure Fax to PC

  1. Open the HP Toolbox:
    • Windows XP: Click Start , point to All Programs , point to HP , point to HP LaserJet M1319f Series , and then click HP Toolbox .
    • Windows Vista: Click the Windows icon ( ), point to All Programs , point to HP , point to HP LaserJet M1319f Series , and then click HP Toolbox .
  2. In the right pane of the HP Toolbox, select Receive faxes to this computer , click Apply , and then close the Toolbox.

Voice mail setting

If your phone company provides voice mail services, make sure the product is set up correctly.

Option one: Distinctive ring service

If you have a distictive ring service provided by your telephone company, follow these steps.
  1. Set the distinctive ring setting (single, double, or triple) to match the ring pattern supplied with the fax number. If you are unsure of your ring setting, contact your phone provider to determine which pattern you have.
  2. Press the Setup button ( ).
  3. Use the Arrow keys ( ) to select System setup , select Fax recv. setup , select Answer mode , select Automatic , and then press OK .

Option two: Receive faxes manually

If you use voice mail services provided by your telephone company, but do not have a distinctive ring pattern, follow these steps.
  1. Press the Setup button ( ).
  2. Use the Arrow keys ( ) to select System setup , select Fax recv. setup , select Answer mode , select Manual , and then press OK .

Option three: Get a dedicated fax line

Connect the device to a different phone line. If another phone line is not available, contact your phone company to purchase dedicated fax line.

Fax memory is full

If the memory is full, try the following solutions in order until memory space is available.

Solution one: Perform a power cycle

Turn the product off, and then turn the product back on.

Solution two: Break the fax into smaller sections

Break the current send job into multiple faxes. If you are receiving a large fax, ask the sender to break the fax into smaller fax transmissions.

Solution three: Delete stored faxes

  1. Press the Setup button ( ).
  2. Use the Arrow keys ( ) to select Fax functions , select Clear saved faxes , and then press OK .

Solution four: Ask the sender to reduce fax resolution

Resolution settings on the sending machine might be set higher than normal, which creates a larger sending file size. Make sure the sender's resolution is not set to photo or superfine .

DSL phone service

HP products support faxing on an analog phone line. If your phone line is bundled with DSL Internet service, a high-pass filter is required on the phone line your product uses. Contact the DSL service provider or purchase a DSL filter if you do not have one.
NOTE:If you have a high-pass filter installed, try another filter. High-pass filters can be defective.

Phone line splitter

If you are using a phone line splitter, remove the phone line splitter and connect the phone through the auxiliary port on the back of the product.

Phone attached to the product

If a phone is attached through the auxiliary port on the back of the product, complete the following steps.
  1. Make sure the phone is hung up properly.
  2. Make sure the phone is not being used for a phone call at the time of the fax.

VOIP phone service setting

  1. Contact your Internet service provider to make sure faxing is supported.
    NOTE:With some companies, an adapter might be necessary.
  2. Contact your VOIP provider for recommended fax modem speed.
  3. Press the Setup button ( ).
  4. Use the Arrow keys ( ) to select Fax setup , select All faxes , select Fax speed , and then select the speed suggested by your VOIP provider.
