Setting Up the All-in-One to Send and Receive Faxes

Introduction

This document describes how to set up the product to send and receive faxes.

Before you begin

Before you set up your fax service, make sure that you have performed these actions:
  • Installed the cartridges
  • Loaded U.S. Letter or A4-size paper in the paper tray
  • Have the telephone cord and adapter ready (if provided) that came in the box with the product
IMPORTANT! Check the following table for your country/region. If the list includes your country/region, go to the corresponding Web site for setup information. If the list does not include your country/region, follow the instructions provided in this document.

Step one: Connect the product to the phone line

Depending on the type of phone line you have, use one of the following methods to connect the phone cord to the product.
  • Connect the phone cord to a dedicated phone line: Use this method if you have a separate phone line on which you receive no voice calls, and you have no other equipment connected on that phone line.
  • Connect the phone cord to a shared phone line with a distinctive ring service: Use this method if you share the phone line with another device and the phone line has a distinctive ring service
    Allows you to have several phone numbers on one phone line. Each number is assigned a different ring pattern. When the fax printer detects a specified ring pattern, it answers the call and receives the fax.

  • Connect the phone cord to a shared phone line with an answering machine: Use this method if you receive both voice calls and fax calls on the same phone number, and you also have an answering machine that answers voice calls at that phone number.
    CAUTION:If you do not use the supplied phone cord to connect from the phone wall jack to the product, you might not be able to fax successfully. This special phone cord has only two copper wires. Replace any four-wire cords with a two-wire cord. If you have the cord that shipped with the fax and it is long enough, use that cord.

Choose one of the following connection types.

Step one: Connect the phone cord

  1. Unplug any telephone devices from the telephone wall jack.
  2. Connect one end of the phone cord to the telephone wall jack.
  3. Connect the other end of the phone cord to the port labeled 1-LINE on the rear of the product.

    NOTE:If necessary, use the adapter that came with your product to connect the phone cord to the telephone wall jack.

Step two: Set the product to Auto Answer

  1. On the product control panel, touch the Right Arrow () to display the second navigation screen.
  2. Touch the Setup icon ().
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch Auto Answer, and then touch On.

Step three: Set Rings to Answer to two rings

  1. On the product control panel, touch the Right Arrow () to display the second navigation screen.
  2. Touch the Setup icon ().
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch Rings to Answer.
  5. Touch the Up Arrow () until the Rings to Answer setting is 2.
  6. Touch Done.
IMPORTANT When using a distinctive ring service, making a call on one of the numbers causes the line to be in use for all of the phone numbers on the line. For example, if you make a phone call on your main phone number, callers wanting to send a fax to your HP product would receive a busy signal.

Step one: Contact your phone company

If you connect the product to a line with a distinctive ring service, have your telephone company assign one ring pattern to voice calls and another ring pattern to fax calls.

Step two: Connect the phone cord

  1. Unplug any telephone devices from the telephone wall jack.
  2. Connect one end of the phone cord to the telephone wall jack.
  3. Connect the other end of the phone cord to the port labeled 1-LINE on the rear of the product.

    NOTE:If necessary, use the adapter that came with your product to connect the phone cord to the telephone wall jack.

Step three: Set the product to Auto Answer

  1. On the product control panel, touch the Right Arrow () to display the second navigation screen.
  2. Touch the Setup icon ().
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch Auto Answer, and then touch On.

Step four: Set the product to answer a distinctive ring

  1. On the product control panel, touch the Right Arrow () to display the second navigation screen.
  2. Touch the Setup icon ().
  3. Touch Fax Setup.
  4. Touch the Down Arrow (), and then touch Advanced Fax Setup.
  5. Touch Distinctive Ring, and then touch Yes to continue.
  6. If you don't know the ring pattern assigned to the fax phone number, follow these steps:
    1. Touch Ring Pattern Detection.
    2. Touch Continue.
    3. Call the phone number assigned to the fax.
    4. When the line rings, note the ring pattern.
  7. If you know the ring pattern assigned to the fax, select it from the list displayed.
    NOTE:A double ring is the most common distinctive ring pattern assigned to a fax.

Step five: Set Rings to Answer to two rings

  1. On the product control panel, touch the Right Arrow () to display the second navigation screen.
  2. Touch the Setup icon ().
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch Rings to Answer.
  5. Touch the Up Arrow () until the Rings to Answer setting is 2.
  6. Touch Done. The ring pattern will sound twice, and then the fax will pick up the call.
When the phone rings, your answering machine answers after the number of rings you have set, and then plays your recorded greeting. The product monitors the call during this time, "listening" for fax tones. If the product detects incoming fax tones, the product emits fax reception tones to receive the fax. If there are no fax tones, the product stops monitoring the line, and then your answering machine records a voice message.

  1. Unplug any telephone devices from the telephone wall jack where you are connecting the HP product.
  2. Remove the white plug from the port labeled 2-EXT on the rear of the product.

  3. Unplug your answering machine phone cord from the telephone wall jack.
  4. Connect the answering machine phone cord to the port labeled 2-EXT on the rear of the product.
    NOTE:If you do not connect your answering machine directly to the product, your answering machine might record fax tones from a sending fax machine, and then the product might not receive faxes.
  5. Connect one end of the phone cord to your telephone wall jack.
  6. Connect the other end of the phone line to the port labeled 1-LINE on the rear of the product.
  7. Optional step: If your answering machine does not have a built-in phone, for convenience you can connect a phone to the rear of your answering machine at the "OUT" port.

Step two: Set the product to Auto Answer

  1. On the product control panel, touch the Right Arrow () to display the second navigation screen.
  2. Touch the Setup icon ().
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch Auto Answer, and then touch On.

Step three: Set Rings to Answer to two rings more than your answering machine

  1. On the product control panel, touch the Right Arrow () to display the second navigation screen.
  2. Touch the Setup icon ().
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch Rings to Answer.
  5. Touch the Up Arrow () until the Rings to Answer setting is two rings more than your answering machine setting. For example, if your answering machine is set to answer on two rings, set the Rings to Answer setting to 4.
  6. Touch Done.

Step two: Set the fax sound volume

Follow these steps to set the volume of the fax ringer.
  1. On the product control panel, touch the Right Arrow () to display the second navigation screen.
  2. Touch the Setup icon ().
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch the Down Arrow (), and then touch Fax Sound Volume.
  5. Touch Soft, Loud, or Off.

Step three: Set the fax header

Follow these steps to create the header that prints on faxes you send.
  1. On the product control panel, touch the Right Arrow () to display the second navigation screen.
  2. Touch the Setup icon ().
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch Fax Header. An on-screen keyboard and numeric keypad displays.
  5. Using the touch keypad, type your name or company name in the Enter your name: field, and then touch Done.
  6. Using the touch keypad, type your fax number in the Fax Number field, and then touch Done.

Step four: Run a fax test

Run a fax test to make sure that the fax is set up correctly.
  1. On the product control panel, touch the Right Arrow () to display the second navigation screen.
  2. Touch the Setup icon ().
  3. Touch the Down Arrow (), and then touch Tools.
  4. Touch the Down Arrow (), and then touch Run Fax Test. The product prints a fax test report.
  5. Touch OK.
  6. Check the fax settings listed in the report to make sure that the settings are correct. A blank or incorrect fax setting can cause problems faxing.
    NOTE:If the test fails, review the report for more information about fixing the problem.
