HP MyRoom (Windows 8)

This document applies to HP computers with Windows 8.
HP MyRoom is a software application that allows you to connect with your contacts over the Internet using real-time text chat, video chat, voice chat, and desktop sharing.
This document helps in installing the app and using its features.

Before you begin

HP MyRoom requires an Internet connection, and certain MyRoom features require a webcam, microphone, and/or speakers. Before you begin, make sure that you are connected to the Internet, and that your hardware is installed and working properly if you want to use video or voice chat.

Setting up HP MyRoom

Use the following sections to download and install MyRoom, and create a new account:
Install the HP MyRoom app using the following steps:
  1. Click the HP MyRoom app tile on the Start screen.

  2. Click Install From Web.

  3. On the HP MyRoom Setup Wizard welcome window, click Next.
  4. On the Select Installation Folder window, leave the default values or change them if needed, and then click Next.

  5. On the Confirm Installation window, click Next.
  6. Wait while MyRoom is installed. When the installation is complete, click Close to exit.
  7. Read the End User License Agreement and select the check box next to I accept the terms of the license agreement. Click the check box next to Don't show this again? if you do not want to be prompted with this window again, and then click Continue.

Use the following steps to create a new HP MyRoom account, and sign in:
  1. Click the HP MyRoom app tile on the Start screen.

  2. On the HP MyRoom sign in screen, click Create a New Account.

  3. Fill out the Create New Account form with your information, and then click Create Account.

  4. If a message displays stating that your account has been created and an email has been sent, open your email and click the HP MyRoom link to activate the account.

  5. Return to the MyRoom window, enter your account email address and password, and then click Sign in.

Managing HP MyRoom Contacts

Contacts are the people you communicate with in HP MyRoom. Anyone with a MyRoom account can be added to your Contacts list using their email address. Use the following sections to add, delete, and group your contacts:
To begin using MyRoom, first add contacts to your Contacts list using the following steps:
  1. Click the add contacts icon button in the bottom left corner of the Contacts tab.

    The Add Contact window appears.
  2. Enter the contact's email address in the Enter Email Address of Contact field.
  3. Click Find to search for a contact with the email address you entered.

  4. If the contact information is correct, click Add to add the contact to your Contacts list.

    If the contact is not found, there is no MyRoom account associated with that email address. Click Send Invite to send a MyRoom invitation to the contact email address you entered.

Use the following steps to remove a contact from your Contact list:
  1. In the Contacts tab, right-click the contact's name and select Delete Contact.
  2. Click Yes to confirm the deletion.
    The contact is removed from your Contact list.
Use groups to organize your contacts. The information in this section helps you manage your contact groups.
  • Add a Group: In the Contacts tab, right-click the Contacts heading and select Add Group to create a new group. Type a Group Name and click OK.
  • Add contacts to a group: Drag and drop existing contacts from one group into another. To add a new contact to the group, right-click the group name and select Add Contact.
  • Rename a Group: Right-click the contact group heading and select Rename Group to rename the group, then type the new name and click OK.
  • Delete a Group: Right-click the contact group heading and select Delete Group, and then click OK to confirm the deletion. The group and its list of contacts are deleted. If there is only one group, it cannot be deleted.

Customizing HP MyRoom settings

Choose any of the following sections to learn how to configure and customize your availability and settings:
Your availability status indicates whether or not you are available to meet or chat. Click the availability notification area to display a drop-down menu with the default availability status options:

The Available, Away, and Do not disturb settings are visible to your MyRoom contacts. Your availability status displays under your name in your MyRoom main window. Your MyRoom contacts see your availability status next to your name in their Contacts lists.
Select Customize... to create custom availability messages:

Save up to five custom messages at a time for each availability status. Click OK to save the messages, and then click the availability notification area to select one of the custom messages:

Once you have created a MyRoom account, you can update your settings or restore default settings at any time. For example, you can change your email, password, or the profile picture for your account. Use these steps to access and edit your settings:
  1. Click the Settings icon button in the MyRoom window.

  2. Select one of the category tabs in the left panel to enter or edit your information.

    You can also test the functionality of your webcam, microphone, and speakers in the Audio and Camera tabs.
  3. Click Save to save your settings.

Using HP MyRoom Chat Rooms (text, video, and voice chat)

HP MyRoom provides numerous options for two-party Chat Room communication. Use the following sections to learn more about each MyRoom chat function:
Text chat, also known as instant messaging, is a real-time text conversation between two participants in a Chat Room. Use the following steps to text chat with one of your contacts:
  1. In the Contacts tab, right-click the name of an available contact and select Meet with....
    Alternatively, double-click the contact's name.

  2. Click within the white box at the bottom of the window, where it says Type here to send a message.
  3. Type your message, and then press the Enter key.

    Each message you send appears in the Chat Room window, labeled with your username.
  4. Chat History logs are automatically saved for each of your contacts, so that the next time you enter a Chat Room with the contact, the room displays your previous conversation. To clear your Chat History, right-click inside the chat window and select Delete Chat History.

MyRoom video calls require that the participants use a webcam. Use the following steps to video chat with one of your contacts:
  1. In the Contacts tab, right-click the name of an available contact and select Meet with....
    Alternatively, double-click the contact's name.

  2. Both participants must click the icon buttons to enable the Microphone, Speakers (if necessary), and Webcam. Speakers are turned on by default in MyRoom. If your computer has external speakers that need to be turned on manually, make sure to turn them on.

    NOTE:Participants can video chat and text chat at the same time, or use text to communicate during a video chat instead of using a microphone and speakers.
Voice chat is similar to speaking on the telephone. It requires that both participants have a microphone and speakers on their computers. Use the following steps to voice chat with one of your contacts:
  1. In the Contacts tab, right-click the name of an available contact and select Meet with....
    Alternatively, double-click the contact's name.

  2. Both participants must click the icon buttons to enable the Microphone, and the Speakers (if necessary). Speakers are turned on by default in MyRoom. If your computer has external speakers that need to be turned on manually, make sure to turn them on.

    NOTE:Participants can voice chat and text chat at the same time.
Refer to the following sections for information about other Chat Room activity options:
Transfer a file to your contact in a Chat Room using these steps:
  1. Select the contact to whom you want to send a file. Click the contact's name at the top of the Chat Room window to select the contact.
  2. Click the File Transfer icon button.

  3. Browse to the file you want to send, then select the file and click Open.
  4. Click Send to send the file.

  5. Wait for your contact to accept the file, or click Cancel to cancel the file transfer.
  6. If you are the file recipient, click Accept to save the file, or Cancel to cancel the transfer.
    Browse to the location where you want to save the file, and then click Choose to save the file in that location.

Share a view of your entire computer screen, or a portion of it, using Desktop Sharing. Use the following steps to share your desktop with a contact:
  1. Click the Desktop Sharing icon button.

  2. Select A Region of your desktop or Share Entire Desktop.
  3. The Chat Room is minimized and a Share Control window appears in the upper right corner of your screen.
    If you chose to share a region of your desktop, drag or resize the window to the area you want to share, and then click Start Sharing.
    Your contact can see a new window open showing a view of your desktop (or a region of your desktop).

  4. Use the buttons in the Share Control window to Stop Sharing (or Start Sharing), Snap an image of the desktop, or Cancel to close Desktop Sharing.
Use the following steps to record audio or video clips to share with a chat contact:
  1. Click one of the recording icon buttons: Record an Audio Message or Record a Video Message.

  2. Click the Record button to begin recording the audio or video message.

  3. Click the Pause button to stop recording.
  4. To preview the recording before sending it to your contact, click the Play button.
    If the recording is not satisfactory, click Cancel and try again.
  5. To share the recorded message with your chat contact, click Save. The recording is added to the chat conversation.

  6. To play the recorded message, press the green Play button. To remove it from the Chat Room, click the red X button.
Take screenshots of your desktop, or a region of your desktop, using the Snap tool. Use the following steps to share snapped screenshots in a Chat Room:
  1. Click the Snap icon button.

  2. Select Snap Region or Snap Entire Desktop.
  3. If you chose to snap the entire desktop, the image is snapped with the Chat Room window showing.
    If you chose to snap a region, the Chat Room window is minimized and a Snap window appears. Drag or resize the window to the area you want to share, and then click Snap.
  4. The snapped image is added to the Content panel. Click the image file to display the image in the Chat Room windows of both chat participants.

The Content panel lists all the snapped images, recorded messages, and other files and folders (excluding transferred files) that have been shared in a Chat Room. Use the following steps to view and manage Chat Room content:
  1. If the Content panel is not visible, click the Show Left Panel icon button to reveal the Content panel.

  2. Right-click an item, or right-click an empty space in the Content panel, for content options.

  3. To add content, drag and drop files into the Content panel, or right-click and select Import to browse to a file and upload it.

Meeting in Rooms using HP MyRoom

MyRoom offers private chat rooms that you can use to hold meetings or chat with numerous contacts at once. You can also use Rooms to upload and share files, or transfer files to contacts. Refer to the following sections to learn more about using Rooms:
Use the following steps to create, enter, and modify a room:
  1. On the MyRoom main window, click the Rooms tab.

  2. Right-click in the white space under the Rooms tab, and select New Room.
  3. Enter a name for the room and click OK.
  4. To enter a room, double-click the room name, or right-click the room name and select Enter Room.
Follow these instructions to rename or delete a room (room Owner only):
  • Rename a room: In the Rooms tab, right-click the room name and select Rename. Type a new name for the room, and then click OK.
  • Delete a room: In the Rooms tab, right-click the room name and select Delete. Click OK to confirm. The room and all its contents are deleted.
Invite contacts into the room using the Room Access window, or by using a Room key. Room participants must install HP MyRoom before joining a room.
Inviting a contact to join a room using Room Access add the room to the contact's Rooms list, and allow the contact to enter the room at any time. Follow these steps to invite contacts using the Room Access window:
  1. Right-click the room name and select Manage Access.

  2. Drag and drop a contact from your Contacts list into the Room Access window.
  3. Select a role for the contact, and then click Send Offer.

  4. A Room Access offer is sent to the selected contact. The contact must click Yes to accept the offer and be placed into the room.

    The contact's status show as Pending in the Room Access window until the contact accepts, and then the status change to Accepted.

  5. When finished adding contacts to the room, click Close to close the Room Access window.
Inviting a contact to join a room using a Room key not add the room to the contact's Rooms list, and only allow the contact one-time access to the room. Follow these steps to add room participants using a Room key:
  1. Click the Room key icon button in the room window.
    A 5-digit room key is generated, and displays next to the Room key icon button. The room key only be valid for five minutes, after which a new room key can be generated, if needed. The same room key can be used by any number of room participants within the 5-minute window of time.
  2. Send the Room key code to your contacts using voice chat, text chat, over the phone, or by email.
  3. The invited participants enter the key code into the Room key field of their Rooms tab.

    If the key is valid, the contact is placed into the room, and the room window opens on their computer.
Each room participant is assigned a role, which determines how they can participate in the room. The following is a list of available roles, including their meanings and permissions:
  • Owner: The Owner is the person who created the room. There can only be one Owner in each room. The Owner has permission do anything with the room and its content, and is the only role that can delete or rename the room. The Owner can invite participants into the room and assign roles.
  • Reader: A Reader can only view content in the room. Readers cannot add, modify, or delete any room content. Readers do not have permission to invite new participants into the room.
  • Writer: A Writer can view, add, modify, or delete room content, but cannot delete or rename the room. Writers do not have permission to invite new participants into the room.
  • Room Administrator: A Room Administrator has permission to do anything with the room and its content, and can invite participants into the room. Room Administrators cannot delete or rename the room.
Owners and Room Administrators can change the roles assigned to other room participants using the following steps:
  1. Right-click the room name and select Manage Access.

  2. In the Room Access window, select a contact, and then select an Available Role for that contact.

  3. Click Save to assign the new role to the selected contact.
    The contact not be prompted to accept the new role and not be notified of the change. The contact's room permissions change immediately.
Refer to the following information to add, save, and modify room content:
  • Add content: Any room participant (except Readers) can add room content. Drag and drop files and folders into the Content panel, or right-click in the Content panel and select Import to browse to a file and upload it. Use the Snap tool to add screenshots that be displayed as slides in the Content panel.
  • Export content: Any room participant can Export a file from Content, to save the file to his or her computer. Right-click the file and select Export, then browse to the desired file location and click Save.
  • Modify content: Any room participant (except Readers) can Rename or Delete room content. Right-click a specific file or folder, or right-click anywhere within the Content panel, to see the available options.

SnapThe Snap tool takes screenshots that be displayed as slides in the Content panel. Use this tool to snap a portion of the screen (Snap Region), or the entire desktop (Snap Entire Desktop).
Desktop SharingClick to make your desktop, or a region of your desktop, visible to everyone in the room.
File TransferSelect a contact in the room, click the File Transfer button, and then browse to a file to send the file to the selected room participant. The transferred file not be added to the Content panel and not be available to all room participants.
Hand upRoom participants can click Hand up to volunteer, indicate approval, answer a question, or another meaning depending on the context. To put the hand down, click the icon a second time.
Create room keyClick to generate a room key that attendees can use to enter the room. Room keys are only valid for 5 minutes, after which a new room key should be generated, if needed.
MicrophoneClick to turn your microphone on or off. Microphone default setting is off.
SpeakersClick to turn your speakers on or off. Speaker default setting is on.
WebcamClick to turn your webcam on or off. Webcam default setting is off.
Record an Audio MessageClick to record an audio clip to share with the room. The audio message be added to the Content panel.
Record a Video MessageClick to record a video clip to share with the room. The video message be added to the Content panel.
