Receiving a Fax

Introduction

The product can be configured to receive faxes automatically or manually. The unit can automatically answer incoming calls and receive faxes after a number of rings specified by the Rings to Answer setting or fax calls can be answered manually.
This document provides instructions on how to receive a fax automatically or manually. Before attempting to receive a fax automatically or manually, make sure the fax hardware is properly setup and connected to a working telephone or data line.

Receiving a fax automatically

To receive a fax automatically, make sure Auto Answer is On and that Rings to Answer is set to the desired preference.
NOTE:The default Rings to Answer setting is 5 rings.
  1. Make sure Auto Answer is set to On .
    1. Press the Setup button ( ) on the control panel of the product.
    2. Press the right arrow button ( ) to select Fax Settings , and then press OK .
    3. Press the right arrow button ( ) to select Answer Options , and then press OK .
    4. Press the right arrow button ( ) to select Auto Answer , and then press OK .
    5. Press the right arrow button ( ) to select On , and then press OK .
    6. Press the Cancel button ( ) to return to the main menu.
  2. Make sure Rings to Answer is set to the desired preference.
    NOTE:The following steps do not need to be performed if it is preferred for the product to automatically answer calls after 5 rings (the default setting).
    1. Press the Setup button ( ).
    2. Press the right arrow button ( ) to select Fax Settings , and then press OK .
    3. Press the right arrow button ( ) to select Answer Options , and then press OK .
    4. Press the right arrow button ( ) to select Rings to Answer , and then press OK .
    5. Use the numeric keypad to enter the appropriate number of rings, and then press OK to save the setting.
    6. Press the Cancel button ( ) to return to the main menu.
The product is now set to receive faxes automatically, after a set number of rings.

Receiving a fax manually

When on the phone, the person on the other end of the phone, can send a fax while still connected. This is referred to as manual faxing. Use the instructions in this section to receive a manual fax.
NOTE:If the unit has a handset, it can be picked up to talk or listen for fax tones.
  1. Make sure the unit is turned on and that paper is loaded in the main tray.
  2. Remove all originals from the document feeder tray.
  3. Set Auto Answer to Off
    1. Press the Setup button ( ) on the control panel.
    2. Press the right arrow button ( ) to select Fax Settings , and then press OK .
    3. Press the right arrow button ( ) to select Answer Options , and then press OK .
    4. Press the right arrow button ( ) to select Auto Answer , and then press OK .
    5. Press the right arrow button ( ) to select Off , and then press OK .
    6. Press the Cancel button ( ) to return to the main menu.
  4. If on the telephone with the sender, instruct the sender to press Start on their fax machine.
  5. When fax tones are heard from a sending fax machine, do the following:
    1. Press the left arrow ( ) or right arrow button ( ) to select Fax B&W or Color Fax .
    2. Press the Start button ( ).
  6. After the unit begins receiving the fax, it is possible to hang up the telephone or remain on the line. The telephone line is silent during fax transmission.
