Setting Up the All-in-One to Send and Receive Faxes (Parallel Telephone Systems)

Introduction

This document describes how to configure the faxing capabilities for the product for parallel telephone systems.

Setting up the All-in-One to send and receive faxes

Follow these steps to set up the product to send and receive faxes.

Preliminary steps

Before you configure the product for faxing, you must first set up the product, connect it to your computer, and install the software. If you have not already set up your product, click here to go to the product setup document for this product (c01656552) (in English).

Step one: Identify the type of telephone system you are using

Depending on your country/region, you have either a serial-type telephone system or a parallel-type telephone system. The instructions for fax setup differ depending on which type of telephone system you have. Review this section to determine whether you have a serial-type telephone system or a parallel-type telephone system.

  • If you found your country/region in the preceding table, you probably have a parallel-type phone system. Continue to the next step in this document for fax-setup instructions.
  • If you cannot find your country/region in the preceding table, you probably have a serial-type phone system. This document does not cover fax setup for serial-type phone connections. See the User Guide that came with your product, which might be a digital version on the software CD, for instructions.
NOTE:If you are uncertain what type of telephone system you have, contact your telephone company.

Step two: Connect the telephone cord

Use one of the following options to connect the telephone cord, depending on whether the fax has its own telephone line (dedicated), or shares the phone line with another device (shared).

Option one: Connect the phone cord for a fax on a dedicated phone line

Follow these steps if the product uses a dedicated phone line:
  1. Unplug any telephone devices from the phone jack where you are connecting the product.
  2. Connect one end of the phone cord supplied with the product to your telephone wall jack.
    CAUTION:If you use a phone cord other than the one HP supplied, the product might not fax successfully.
  3. Connect the other end of the phone cord to the 1-LINE port on the rear of the product.

  4. Press the Auto Answer button () so that the green light is on.

Option two: Connect the phone cord for a fax on a shared phone line

  1. Unplug any telephone devices from the phone jack where you are connecting the product.
  2. Connect one end of the phone cord supplied with the product to your telephone wall jack.
    CAUTION:If you use a phone cord other than the one HP supplied, the product might not fax successfully.
  3. Connect the other end of the phone cord to the 1-LINE port on the rear of the product.
  4. Connect the other device (shared device) into the 2-EXT port on the rear of the product.

  5. Determine how the fax should answer incoming calls:
    • Automatically: If you turn on the autoanswer feature, the fax answers all incoming calls and receives faxes. The fax does not distinguish between fax calls and voice calls. However, you can change the distinctive-ring setting to match the pattern that the telephone company assigned to your fax number.
      To set the fax to automatically answer incoming calls, press the Auto Answer button () so that the green light is on.
    • Manually: If you set up the fax to answer faxes manually, you must be available to respond in person to incoming fax calls. Otherwise, the product cannot receive the fax.
      To set the fax to manually answer incoming calls, press the Auto Answer button () so that the green light is off.

Step three: Set the fax volume

  1. On the control panel, press the Setup button () repeatedly until Basic Fax Setup displays, and then press OK.
  2. Press the Right Arrow button () to select Fax Sound Volume, and then press OK.
  3. Press the Right Arrow button () to select the desired sound setting, Soft, Loud, or Off, and then press OK.

Step four: Set the fax header

  1. From the Basic Fax Setup menu, press the Right Arrow button () to select Fax Header, and then press OK.
  2. Use the keypad on the control panel to type your name or your company name, and then press OK.
  3. Use the keypad to type your fax number, and then press OK.

Step five: Test the fax configuration

  1. On the control panel, press the Setup button () repeatedly until Tools displays, and then press OK.
  2. Press the Right Arrow button () to select Run Fax Test, and then press OK. The message 'Running Fax Test' displays on the control panel, and the product prints a fax test report.
  3. Review the report:
    • If the test passes and you have problems faxing, check the fax settings listed in the report to make sure that the settings are correct. A blank or incorrect fax setting can cause problems faxing.
    • If the test fails, review the report for more information about how to fix any problems found.
