Installing the Printer Software for a Wireless Network Connection (Using an Access Point)

Introduction

This document contains instructions to install the product in an existing wireless network that uses an access point , such as a router. This type of network is called an infrastructure network. HP recommends the infrastructure type of network for wireless connection to your product.
NOTE:You can also use these instructions if you previously installed the software for a USB connection and now want to change to a wireless network connection.

NOTE:If you have more than one computer on the network, install the printer software on each computer that you plan to share with the HP printer.
IMPORTANT : Before you can install the product, your wireless network must already be set up. (To set up your network, follow the instructions that came with your particular access point.)
NOTE:If you set up device filtering on your access point, and need to find the IP or MAC address of your HP product, see Additional Information at the end of this document.
IMPORTANT : Before you can install the product, you must have the following information about the network:
  • Network name : The network name is the SSID (Service Set Identifier).
  • Password : WEP key or WPA passphrase
NOTE:To gather this information, you can ask the person who originally set up your network, see the documentation that came with the access point, or contact the manufacturer. HP cannot set up or change the network SSID, WEP key, or WPA passphrase.
HP designed a quick and easy tool that diagnoses and resolves many printing, scanning, and connectivity problems: The HP Print and Scan Doctor . If you have difficulty gathering your network information, try using the HP Print and Scan Doctor to retrieve your network name and password.

NOTE:The HP Print and Scan Doctor might not be available for all HP products, particularly older products. It is available for most products, however, and in most languages. This tool is available for all Windows operating systems except Windows RT. The tool is not available for Mac OS operating systems.


Follow these steps to download and run the HP Print and Scan Doctor, and then locate your network login information.

  1. Click the following link to download the HP Print and Scan Doctor.

  2. Make sure your computer meets the system requirements, and then click Download .
  3. Check to see if the Security Warning dialog box opens, and then click the Plus sign ( ) next to the corresponding option:
      When the Security Warning dialog box opens, choose one of the following methods to download the wizard.
        1. In the Security Warning dialog box, click Run .
        2. When the Download Complete dialog box opens, click Run , and then click Run again on the Security Warning dialog box. The Print and Scan Doctor opens.
        1. In the Security Warning dialog box, click Save .
        2. When the Save As window opens, browse to your Desktop, and then click Save .
        3. When the download is complete, browse to where you saved the file, and then double-click the file to install the utility. The Print and Scan Doctor opens.
      1. Click Run in the Notification bar to download the software.
      2. Click Yes in the User Account Control window.
  4. On the Menu bar in the Print and Scan Doctor window, click Network .
  5. Click Show Advanced Info .
  6. Click Show Wireless Info .
  7. Under the Wireless Settings pane, identify the name of your network under SSID , and then identify the Network Key next to it in the list.

Step one: Prepare for installation

  1. Make sure that you have the following requirements before you begin:
    • Network name: The network name is the SSID (Service Set Identifier).
    • WEP key or WPA security passphrase
    • A computer that is connected to the wireless network.
    • Internet access. HP recommends broadband Internet access such as cable or DSL.
    • Your wireless-capable HP printer. Place it close to the computer during the installation procedure.
    • Administrator privileges or password (Vista)
  2. Make sure the printer, access point, and computer are all on, and that the computer is connecting to the wireless network.
  3. Exit all applications running on your computer.
  4. Disconnect any USB or Ethernet cable that is connected to the printer.
  5. If you previously installed the software for a USB connection and now want to change to a wireless network connection, follow these instructions to remove the USB installation before continuing.
      Click Start , and then click Printers and Faxes . Right-click the icon for the HP printer, and click Delete to remove it.
      Click the Windows icon ( ), click Control Panel , and then click Printers . Right-click the icon for the HP printer, and click Delete to remove it.
      Click the Windows icon ( ), and then click Devices and Printers . Right-click the icon for the HP printer, and click Delete to remove it.
      Right-click or tap and hold the bottom left corner of the screen, and then click or tap Search . Click or tap Settings , and then type Devices in the Search box. Click or tap Devices and printers , and then delete any icons for your printer.

Step two: Connect to the wireless network

The following video demonstrates how to set up a wireless connection between your printer and a wireless network. The printer shown in the video is the HP Officejet J4680. The outside of the printer might look different, but the steps are similar for your printer.

Follow these steps to connect the product to your wireless WLAN 802.11 network.
  1. Press the Setup button ( ) on the product control panel.
  2. Press the Arrow buttons ( ) to highlight Wireless Menu , and then press OK .
  3. Press the Arrow buttons ( ) to highlight Setup Wizard , and then press OK .
    The Wireless Setup Wizard searches for networks, and then displays them in a list.
  4. Press the Arrow buttons ( ) to highlight the network name (SSID) that you gathered in the previous step, and then press OK .
  5. If prompted, enter the WPA or WEP key:
    1. Use the alphanumeric keypad on the product control panel to enter the passphrase.
      NOTE:Make sure that you enter the uppercase (capital) and lowercase (small) letters exactly. Otherwise, the wireless connection fails.
    2. When you finish entering the passphrase, press OK .
  6. Make sure the product successfully connects to the network before continuing to the next step.
    NOTE:If a connection error message displays, make sure that the network name and security key are correct, and then follow the prompts to enter the information again.

Step three: Decide whether to install with the CD, download the software, or use the HP Printer Install Wizard

Don't worry if you don’t have the printer CD! You can install the most current software available for your printer from the HP website at no cost. Or, if you use the Windows 7 or Windows 8 operating system, the HP Printer Install Wizard quickly and easily finds the best print driver for your printer. The following information might help you decide which installation method to use:
    For a new printerCD installation is a quick and easy method.
    For an older printerCD installation might not work if you are installing the printer on a computer running a newer operating system that released after your printer released.

    For example, Windows 7 released in 2009. If HP manufactured your printer prior to that year, the CD that came with the printer might not work correctly on a computer running Windows 7.
    About the softwareThe software on the CD is current to the date of the printer release.
    For a new printerIf you do not have a CD, you can download the software you need.
    For an older printerDownloading the software provides the best results for your older printer. Even though it takes more time than using the CD, downloading the latest software can help you avoid installation issues.

    Downloading is the recommended method if your computer operating system released after your printer released.
    About the softwareThe software you can download from the HP website is the most current software available for your printer. HP often updates software and drivers after the printer and CD release to the market.
    For a new printerThe HP Printer Install Wizard quickly and easily finds the best print driver for your printer.
    For an older printerThe Printer Install Wizard can help you use your printer in the same way you used it with your old Windows operating system. The wizard is only available for Windows 7 and Windows 8, and it is not available for all printers.
    About the softwareThe HP Printer Install Wizard provides the most current software available for your printer. HP often updates software and drivers after the printer and CD release to the market.

Step four: Install the printer software

To install the printer on the wireless network, follow the steps for the method that you want to use (CD, download, or HP Printer Install Wizard). Repeat the steps to install the software on each computer that will use the printer wirelessly over the same network.
Important: If you get any firewall messages during installation, click unblock , accept , continue , yes , allow , or permit , or the installation will fail.
  1. Insert the printer CD into the CD drive of the computer, and then wait a few seconds for the software installer to start.
    If the installer does not start automatically, follow these steps to start it:
      Click Start , click My Computer , and then double-click the CD drive.
      Click the Windows icon ( ), click Computer , and then double-click the CD drive.
      Right-click or tap and hold the bottom left corner of the screen, click or tap File Explorer , click or tap Computer , and then click or tap the CD or DVD drive. Double-click or double-tap the Setup.exe file.
    NOTE:If the User Account Control screen opens, click Allow to continue.
  2. Follow the on-screen instructions to start the installation.
    NOTE:If you previously installed the software and are changing the connection type from USB to wireless, click Add a device when the Uninstall the software or Add a device window opens.
  3. If prompted to choose the type of installation, review the following information:
      Recommended typeCustom type
      Recommended , Full , or EasyCustom , Express , or Advanced
      For full use of all your printer features : This installation provides full printer functionality. HP also includes valuable software to help you get the most out of your printer.

      HP designed this type of installation to work for most users.
      A custom type of installation might be available for your printer. This installation allows you to install the minimum software required or the preferred software.

      Use this type of installation only if the computer is low on hard disk space or you attempted a recommended type of installation and received errors. (Try to fix any errors before starting a custom installation.)

      CAUTION:To avoid unintended loss of printer functionality, read the description of each software component carefully during the installation process.
      The Recommended type of installation allows you to take advantage of all your printer features.
  4. When prompted to choose a connection type, select the Network type, not the USB type.
  5. Follow the on-screen instructions to finish installing the software.
Follow these steps to download the software, and then install it.
Step one: Download the software
Many printers have more than one driver option on the downloads page. Choices might include a Basic type, and Full Feature type. If both options are available, the following information might help you decide which driver to download.
Basic typeFull Feature type

(Strongly Recommended)
HP does not recommend installing the basic driver unless you have one of the following reasons:

  • You plan to use the All-in-One for printing only.
  • You plan to scan with Microsoft WIA drivers, Twain drivers, or third party scanning software.


The basic driver is smaller and downloads more quickly. However, it does not provide the software needed by most users to copy and fax from the computer, and to use all the scanning features of the printer.
For full use of all your printer features: This driver provides full printer functionality. HP also includes valuable software to help you get the most out of your printer. The software varies by printer , but here are some examples:

  • HP Solution Center : This important tool allows you to control settings for printing, copying, and scanning. It also helps you with product maintenance, troubleshooting, software updates, and links to buy supplies.
  • Searchable help files tailored to your printer
  • Image-editing software


NOTE:During the Full Feature installation process, you can choose a custom or minimum installation, where you select the specific software items that you want to install.
Follow these steps to download the printer software and save it to your computer.
  1. Disconnect the USB cable from both the printer and the computer (if you already connected it).
  2. Turn the printer on.
  3. Browse to the Get Software and Drivers page: Get Software and Drivers
  4. Check the instructions on the page, and then click the Plus sign (+) next to the correct heading for additional instructions:
  5. Click the Plus sign ( ) next to Driver , and then click the driver that you want to download. If you need help deciding, see the information in the previous table.
    NOTE:HP recommends the Full Feature type of download, if available, to take advantage of all your printer features.
  6. Read through the minimum system requirements and additional instructions. You can also click View directions ( ) for complete download instructions.
  7. Click Download . This option allows you to install the software at any time after the download completes.
  8. Click Save , and then browse to the location on your computer where you want to save the file.
  9. Click Save . The software downloads to your computer.
    Tip: Make a note of the place that you saved the file, in case you want to install it at a later time.
Step two: Install the software
Follow these steps to install the downloaded software.
  1. When the download is complete and you are ready to install the files, click Open Folder , and then double-click the downloaded file. The file name ends in .exe .
    NOTE:If you closed the Download Complete screen, browse to the folder where you saved the .exe file, and then double-click it.
  2. You can accept the default location to save the files. Click Next , and then wait while the installer extracts the files to prepare for installation.
  3. Follow the on-screen instructions to start the installation.
    NOTE:If you previously installed the software and are changing the connection type from USB to wireless, click Add a device when the Uninstall the software or Add a device window opens.
  4. If you downloaded a Full Feature driver, the installer might prompt you to select the type of installation you want. (Skip this step if you downloaded a basic driver.)
    The following information might help you decide which installation type to use.
      Recommended typeCustomized type
      Typical or RecommendedMinimum or Custom
      For full use of all your printer features : This installation provides full printer functionality. HP also includes valuable software to help you get the most out of your printer.

      HP designed this type of installation to work for most users.
      A customized type of installation might be available for your printer. This installation allows you to install the minimum software required or the preferred software.

      Use this type of installation only if the computer is low on hard disk space or you attempted a recommended type of installation and received errors. (Try to fix any errors before starting a customized installation.)

      CAUTION:To avoid unintended loss of printer functionality, read the description of each software component carefully during the installation process.
    The Recommended type of installation allows you to take advantage of all your printer features.
  5. When prompted to choose a connection type, select the Network type, not the USB type.
  6. Follow the on-screen instructions to finish installing the software.
The HP Printer Install Wizard quickly and easily finds the best Windows print driver for your printer. To save time, try using this automated tool instead of the other installation methods in this document.
NOTE:The HP Printer Install Wizard is not available for all printers, and is available only for the Windows 7 and Windows 8 operating systems.
Following are some common installation problems that the HP Printer Install Wizard can help with:
  • You cannot find your driver for Windows.
  • You need help using your HP printer in the same way you used it with your old operating system.
  • You are not sure which driver you should select.


NOTE:The HP Printer Install Wizard is not available for all HP printers. This tool is available only for the Windows 7 and Windows 8 operating systems.The HP Printer Install Wizard works with printers connected with a USB cable or with a wired (Ethernet) or wireless network connection. If you would like to connect your printer wirelessly, but it is not on a wireless network, you need to temporarily connect the printer with a USB cable to run the Printer Install Wizard.
Step one: Download the wizard
  1. Click or tap the following link to download the wizard:

  2. Make sure that your computer meets the system requirements, and then click Download .
  3. Check to see if the Security Warning dialog box opens, and then click the Plus sign ( ) next to the corresponding option:
      When the Security Warning dialog box opens, choose one of the following methods to download the wizard.
        1. In the Security Warning dialog box, click Run .
        2. When the Download Complete dialog box opens, click Run , and then click Run again on the Security Warning dialog box.
        1. In the Security Warning dialog box, click Save .
        2. When the Save As window opens, browse to your Desktop, and then click Save .
        3. When the download is complete, browse to where you saved the file, and then double-click the file to install the utility.
      1. Click Run in the Notification bar to download the software.
      2. Click Yes in the User Account Control window.
    When the wizard finishes installing, the wizard opens automatically.

Step two: Run the HP Printer Install Wizard
  1. Press the Power button ( ) to turn on the printer, if it is not already on.
  2. Connect the USB cable to the HP printer and to the computer, if it is not already connected to the computer or the network.
  3. Make sure that your computer has an Internet connection. The wizard must access the Internet to work correctly.
  4. Click Next to begin the utility. The wizard displays a list of detected products.
  5. If the wizard detects more than one printer, select your HP printer from the list.
  6. The wizard automatically displays the best available driver for your HP printer.
    • If a full feature driver is available , the wizard detects it. Click Next to download and install the software. For full functionality, HP recommends installing the full feature driver if it is available.
        This installation provides full product functionality. HP also includes valuable software to help you get the most out of your printer.
    • If an in-Operating System (in-OS) driver is available , the wizard explains that the driver is already installed. It also supplies a link to more information about using the in-OS driver with your printer.
        An in-OS driver is a basic driver that is already included in the operating system. You do not need to download or install any software from HP.
    • If a Windows Update driver is available , the wizard explains that the driver is already installed. It will also supply a link to more information about using a Windows Update driver.
        When you connect the USB cable to the printer, and then to the computer, or Windows 8 detects that the printer is on the same network as the PC, Windows activates Windows Update. Windows Update searches online for the most recent printer driver on the Windows Update site. If the online driver is more recent than the driver stored in Windows, the computer downloads and installs the updated driver. The Windows Update process takes place automatically.
    • If an alternate driver is available , the wizard supplies a link to learn how to install and configure the alternate driver for your printer.
      NOTE:Alternate drivers are supported by Windows 7 only.
        For some products that do not have a driver available, there might be another compatible driver that you can use instead.

Additional information

You can print a page of printer information from the control panel of your All-in-One. The page includes information about the printer IP address, MAC address, and network status. Follow these steps to print the information:
  1. Press the Setup button ( ) on the printer control panel.
  2. Press the Arrow buttons ( ) to select Print Report , and then press OK .
  3. Press the Arrow buttons ( ) to select Network Config , and then press OK . The Network Configuration Page prints.
Follow these steps to install the printer software for a wireless connection on a Mac.
Important : Before you can install the printer, your wireless network must already be set up. To set up your network, follow the instructions that came with your particular access point. You must also have the following information about the network:
  • Network name : The network name is the SSID (Service Set Identifier).
  • Password : WEP key or WPA passphrase


To gather this information, you can ask the person who originally set up your network, see the documentation that came with the access point, or contact the manufacturer. HP cannot set up or change the network SSID, WEP key, or WPA passphrase.
NOTE:If you set up device filtering on your access point, and need to find the IP or MAC address of your HP printer, see How do I print a Network Configuration Page? .
Important : You must follow these steps in the order presented .

Step one: Prepare for installation

  1. Make sure that you have the following requirements before you begin:
    • Network name: The network name is the SSID (Service Set Identifier).
    • WEP key or WPA security passphrase
    • A computer that is connected to the wireless network.
    • Internet access. HP recommends broadband Internet access such as cable or DSL.
    • Your wireless-capable HP product. Place it close to the computer during the installation procedure.
    • A USB cable (used only during installation).
    • Administrator privileges or password
  2. Make sure the product, access point, and computer are all on, and that the computer is connecting to the wireless network.
  3. Connect the USB Cable to the rear port of the HP product and to any USB port on the computer.
  4. Exit all applications running on your computer.
NOTE:You can gather additional network information by printing a Network Configuration Page. The page includes the printer IP address and MAC address, as well as the printer network status.
Follow these steps to print a Network Configuration Page.
  1. Press the Setup button ( ) on the printer control panel.
  2. Press the Arrow buttons ( ) to select Print Report , and then press OK .
  3. Press the Arrow buttons ( ) to select Network Config , and then press OK . The Network Configuration Page prints.

Step two: Connect to the wireless network

The following video demonstrates how to set up a wireless connection between your printer and a wireless network. The printer shown in the video is the HP Officejet J4680. The outside of the printer might look different, but the steps are similar for your printer.

Follow these steps to connect the product to your wireless WLAN 802.11 network.

    NOTE:If a connection error message displays, make sure that the network name and security key are correct, and then follow the prompts to enter the information again.

Step three: Decide whether to install with the printer CD or download the software

Don’t worry if you don’t have the product CD! You can download the most current software available for your product from the HP Web site at no cost. The following information might help you decide which installation method to use:
CDDownload
For a new product:CD installation is a quick and easy method.If you do not have a CD, you can download the software you need.
For an older product:CD installation might not work if you are installing the product on a computer running a newer operating system that released AFTER the HP product released.Downloading the software provides the best results for your older product. Even though it takes more time than using the CD, downloading the latest software can help you avoid installation issues.

Downloading is the recommended method if your computer operating system released after the HP product released.
About the software:The software on the CD is current to the date of the product release.The software that you can download from the HP Web site is the most current software available for your product. HP often updates software and drivers AFTER the product and CD release to the market.

Step four: Install the software

Choose one of the following methods to install the printer software.
NOTE:If you partitioned your hard drive, you must install the driver on the same partition as the operating system.
You will experience the best performance and functionality if you download the latest HP software from Apple Software Updates . Follow these steps to update the software.
Important : To successfully update the HP software and driver, the HP product must be turned on and connected to the Mac with a USB or network connection, or there must be an existing printer queue for your product.
  1. Click the Apple menu ( ), and then click Software Update . Software Update checks for available updates.
  2. In the Software Update window, select the software you want to install, and then click Install .
    NOTE: Install all available updates for best performance and functionality.
  3. When prompted, enter your administrator account name and password.
  4. After the software updates complete, restart the computer (if required).
  1. Disconnect the USB cable from both the product and the computer (if you already connected it).
  2. Turn the product on.
  3. Browse to the Get Software and Downloads page: Get Software and Drivers .
  4. Check the instructions on the page, and then click the Plus sign (+) next to the correct heading for additional instructions:
  5. Click the Plus sign ( ) next to Driver , and then click the driver that you want to download.
    NOTE:HP recommends the Full Feature type of download, if available, to take advantage of all your product features.
  6. Read through the minimum system requirements and additional instructions. You can also click View directions ( ) for complete download instructions.
  7. Click Download . If your browser opens a new dialog box, you might also need to click Save or Save File .
    The file downloads to your computer.

  8. Double-click the icon above the file name. The computer extracts the files and displays a disk image file icon above the product name.

  9. Double-click the disk image file.
  10. Double-click the HP Installer icon.
    The HP Installer program opens.
  11. When prompted, select your HP product, and then click OK .
  12. Follow the on-screen instructions to complete the installation.
  1. Insert the Macintosh product CD into the CD drive of the computer.
  2. Double-click the HP software disc icon that displays under the Macintosh HD icon.
  3. Double-click the HP Installer icon.
    The HP Installer program opens.
  4. When prompted, select your HP product, and then click OK .
  5. Follow the on-screen instructions to complete the installation.
