Installing the Printer Software for a Wireless or Wired (Ethernet) Network Connection (Using an Access Point)

Introduction

This document explains how to install the print drivers and other software for your printer to use it on a wireless network. If you have more than one computer on the network, install the printer software on each computer that you plan to share with the printer.

Follow these steps for the Windows XP operating system. Next, choose your connection type.
Follow these steps to install your HP product over a wired (Ethernet) network.
Important: Set up the HP hardware before installing the software. If you have not already done so, find the Hardware Setup document for your HP product before completing these steps. You must follow these steps in the order presented.

Step one: Check requirements

Make sure you have the following items:
  • One of the following types of wired access points or routers: Ethernet router, switch, hub, or wireless router with Ethernet ports
  • A computer that connects to the wired access point or router
  • A Category 5 Ethernet cable to use for the HP product. (Do not use a standard telephone cable.)

    Although an Ethernet cable looks similar to standard telephone cable, each has a different plug and a different number of wires. The plug on an Ethernet cable (also called an RJ-45 connector) is wide, thick, and always has eight wires. The plug on a telephone cable is narrower and has between two and six wires.

Step two: Change from USB connection to Ethernet connection

If you previously installed the software for a USB connection and now want to change to an Ethernet connection, follow these instructions to remove the USB installation before continuing.

Step three: Connect the HP printer to the network

  1. Remove any plug or protective cover from the Ethernet port on the back of the product.

  2. Connect the Ethernet cable to the Ethernet port on the product, and then connect the other end of the cable to an available port on the wired access point or router.

  3. Connect the power cord to the product, and then plug it into an electrical outlet.
  4. Turn the product on.

Step four: Decide whether to install with the product CD or download the software

Don’t worry if you don’t have the printer CD! You can download the most current software available for your printer from the HP website at no cost. The following information might help you decide which installation method to use:
    For a new printer:CD installation is a quick and easy method.
    For an older printer:CD installation might not work if you are installing the printer on a computer running a newer operating system that released AFTER the HP printer released.

    For example, Windows Vista released in 2007. If HP manufactured your printer prior to that year, the CD that came with the printer might not work correctly on a computer running Vista.
    About the software:The software on the CD is current to the date of the printer release.
    For a new printer:If you do not have a CD, you can download the software you need.
    For an older printer:Downloading the software provides the best results for your older printer. Even though it takes more time than using the CD, downloading the latest software can help you avoid installation issues.

    Downloading is the recommended method if your computer operating system released after the HP printer released.
    About the software:The software you can download from the HP website is most current software available for your printer. HP often updates software and drivers after the printer and CD release to the market.

Step five: Install the software

When you are ready to begin, follow the instructions for the installation method that you want to use (CD or download). During the installation, choose the option for the network type of connection, not the USB option.
Important: If you get any firewall messages during installation, click unblock, accept, continue, yes, allow, or permit, or the installation fails.
Follow these steps to install the software with the product CD.
  1. Turn the product on.
  2. Insert the product CD into the CD drive of the computer, and then wait a few seconds for the software installer to start.
    If the installer does not start automatically, click Start (), click My Computer, and then double-click the CD drive.
    NOTE:If the User Account Control screen opens, click Allow to continue.
  3. When prompted to choose a connection type, select Network (Ethernet/Wireless), and then click Next.
  4. When prompted to choose a network type, select Wired (Ethernet), and then click Next.
  5. Follow the on-screen instructions to finish installing the software.

  5. Read through the minimum system requirements and additional instructions. You can also click View directions () for complete download instructions.
  6. Click Download.
  7. If the File Download Security Warning window displays, click Save, and then browse to the location on your computer where you want to save the file.
  8. Click Save. The software downloads to your computer.
    Hint: Make a note of the folder where you saved the file, in case you want to install it at a later time.
Step two: Install the software
Follow these steps to install the downloaded software.
  1. When the download is complete and you are ready to install the files, click Open Folder, and then click the downloaded file. The file name ends in .exe.
    NOTE:If you closed the Download Complete screen, browse to the folder where you saved the .exe file, and then click it.
  2. You can accept the default place to save the files. Click Next, and then wait while the installer extracts the files to prepare for installation. The Install Wizard opens.
  3. When prompted to choose a connection type, select Network (Ethernet/Wireless), and then click Next.
  4. When prompted to choose a network type, select Wired (Ethernet), and then click Next.
  5. Follow the on-screen instructions to finish installing the software.

Follow these steps to install the HP product on a wireless network.
Important: You must follow these steps in the order presented.

Step one: Gather the required network setup items

You must have the following items before you install the HP product on the wireless network:
Do not worry if you do not have all of the items yet! The HP Print and Scan Doctor
The HP Print and Scan Doctor is an automated tool designed to help you gather network information.
can help you gather some of these items.
  • Network name: The network name is the SSID
  • WEP key or WPA security passphrase
  • A computer that is connected to the wireless network
  • Internet access: HP recommends broadband Internet access such as cable or DSL
    NOTE:Internet access is not required for you to install your printer with a wireless connection. However, you do need Internet access to use Web Services or get product updates.
  • Your wireless-capable HP printer: Place it close to the computer during the installation procedure
  • A USB cable (used only during installation). Do not connect the cable now
The HP Print and Scan Doctor quickly diagnoses and resolves many printing, scanning, and connectivity problems. It also can easily locate your wireless network login information.
NOTE:The HP Print and Scan Doctor is available for most HP products, and it is available in most languages. However, it might not be available for older HP product models. This tool is not available for Mac OS X operating systems.
  1. Click Download, and then follow the on-screen instructions to save the software to your computer.
  2. Open the folder where the software file saved (usually Downloads), double-click the file, and then follow the on-screen instructions to complete the installation. The HP Print and Scan Doctor opens.
  3. On the Menu bar in the Print and Scan Doctor window, click Network, and then click Show Advanced Info.
  4. Click Show Wireless Info.
  5. In the Wireless Settings section, the SSID column lists the wireless network name, and the Network Key column lists the corresponding wireless network password.

Step two: Prepare for the installation

NOTE:Make sure that you have already completed the hardware setup of your HP product before beginning the steps to install the software and set up the product on a wireless network.
  1. Make sure the HP product, access point, and computer are all turned on, and that the computer is connected to the wireless network.
  2. Exit all applications running on your computer.
  3. Disconnect the USB cable if it is connected to the HP product, and then choose from the following options:

Step four: Install the product software

To install the HP product on the wireless network, follow the steps for the method that you want to use (CD or download). Repeat the steps to install the software on each computer that will use the HP product wirelessly over the same network.
Important: If you get any firewall messages during installation, click unblock, accept, continue, unblock, yes, allow, or permit, or the installation will fail.
Follow these steps to install the software with the HP product CD.
  1. Insert the product CD into the CD drive of the computer, and then wait a few seconds for the software installer to start.
    If the installer does not start automatically, follow these steps to start it:
    Click Start (), click My Computer, and then double-click the CD drive.
    NOTE:If the Installation Agreements and Settings window opens, click the check box to accept the terms of the agreements, and then click Next.
  2. Wait while the computer installs the HP product software. It could take several minutes.
  3. When prompted to select a connection type, select Network, and then click Next.
  4. When prompted to choose a network type, select Wireless, and then click Next.
  5. When prompted, connect a USB cable temporarily to add the HP product to your network.
  6. Follow the on-screen instructions to finish installing the software.

    Hint: Make a note of the folder where you saved the file, in case you want to install it at a later time.

Important: There are two methods for setting up your HP product on a wireless network. The HP Auto Wireless Connect method might be an option during installation, depending on your network environment. If the HP Auto Wireless Connect method is not an option, a USB setup method is available. HP recommends using the HP Auto Wireless Connect method if it is available.
NOTE:HP Auto Wireless Connect is offered up to 60 minutes after initial product setup. After that time, the installation will default to the alternate USB setup method.

Step five: Install the software

When you are ready to begin, follow the instructions for the installation method that you want to use (CD or download). During the installation, choose the option for the network type of connection, not the USB option.
Important: If you get any firewall messages during installation, click unblock, accept, continue, yes, allow, or permit, or the installation fails.
Follow these steps to install the software with the product CD.
  1. Turn the product on.
  2. Insert the product CD into the CD drive of the computer, and then wait a few seconds for the software installer to begin.
    If the installer does not begin automatically, click the Windows icon (), click Computer, and then double-click the CD drive.
    NOTE:If the User Account Control screen opens, click Allow to continue.
  3. When prompted to choose a connection type, select Network (Ethernet/Wireless), and then click Next.
  4. When prompted to choose a network type, select Wired (Ethernet), and then click Next.
  5. Follow the on-screen instructions to finish installing the software.
Follow these steps to download the software, and then install it.

  1. Turn the product on.
  2. Browse to the Get Software and Drivers page:

  3. Check the instructions on the page, and then click the Plus sign (+) next to the correct heading for additional instructions:

  5. Read through the minimum system requirements and additional instructions. You can also click View directions () for complete download instructions.
  6. Click Download.
  7. If the File Download Security Warning window displays, click Save, and then browse to the location on your computer where you want to save the file.
  8. Click Save. The software downloads to your computer.
    Hint: Make a note of the folder where you saved the file, in case you want to install it at a later time.
Step two: Install the software
Follow these steps to install the downloaded software.
  1. When the download is complete and you are ready to install the files, click Open Folder, and then click the downloaded file. The file name ends in .exe.
    NOTE:If you closed the Download Complete screen, browse to the folder where you saved the .exe file, and then click it.
  2. You can accept the default place to save the files. Click Next, and then wait while the installer extracts the files to prepare for installation. The Install Wizard opens.
  3. When prompted to choose a connection type, select Network (Ethernet/Wireless), and then click Next.
  4. When prompted to choose a network type, select Wired (Ethernet), and then click Next.
  5. Follow the on-screen instructions to finish installing the software.

Important: There are two methods for setting up your HP product on a wireless network. The HP Auto Wireless Connect method might be an option during installation, depending on your network environment. If the HP Auto Wireless Connect method is not an option, a USB setup method is available. HP recommends using the HP Auto Wireless Connect method if it is available.
NOTE:HP Auto Wireless Connect is offered up to 60 minutes after initial product setup. After that time, the installation will default to the alternate USB setup method.

Step one: Gather the required network setup items

You must have the following items before you install the HP product on the wireless network:
Do not worry if you do not have all of the items yet! The HP Print and Scan Doctor
The HP Print and Scan Doctor is an automated tool designed to help you gather network information.
can help you gather some of these items.
  • Network name: The network name is the SSID
  • WEP key or WPA security passphrase
  • A computer that is connected to the wireless network
  • Internet access: HP recommends broadband Internet access such as cable or DSL
    NOTE:Internet access is not required for you to install your printer with a wireless connection. However, you do need Internet access to use Web Services or get product updates.
  • Your wireless-capable HP printer: Place it close to the computer during the installation procedure
  • A USB cable (used only during installation). Do not connect the cable now
The HP Print and Scan Doctor quickly diagnoses and resolves many printing, scanning, and connectivity problems. It also can easily locate your wireless network login information.
NOTE:The HP Print and Scan Doctor is available for most HP products, and it is available in most languages. However, it might not be available for older HP product models. This tool is not available for Mac OS X operating systems.
  1. Click Download, and then follow the on-screen instructions to save the software to your computer.
  2. Open the folder where the software file saved (usually Downloads), double-click the file, and then follow the on-screen instructions to complete the installation. The HP Print and Scan Doctor opens.
  3. On the Menu bar in the Print and Scan Doctor window, click Network, and then click Show Advanced Info.
  4. Click Show Wireless Info.
  5. In the Wireless Settings section, the SSID column lists the wireless network name, and the Network Key column lists the corresponding wireless network password.

Step two: Prepare for the installation

NOTE:Make sure that you have already completed the hardware setup of your HP product before installing the software and setting up the HP product on a wireless network.
  1. Make sure the HP product, access point, and computer are all turned on, and that the computer is connected to the wireless network.
  2. Exit all applications running on your computer.
  3. Choose from the following options:

Don’t worry if you don’t have the printer CD! You can download the most current software available for your printer from the HP website at no cost. The following information might help you decide which installation method to use:
    For a new printer:CD installation is a quick and easy method.
    For an older printer:CD installation might not work if you are installing the printer on a computer running a newer operating system that released AFTER the HP printer released.

    For example, Windows Vista released in 2007. If HP manufactured your printer prior to that year, the CD that came with the printer might not work correctly on a computer running Vista.
    About the software:The software on the CD is current to the date of the printer release.
    For a new printer:If you do not have a CD, you can download the software you need.
    For an older printer:Downloading the software provides the best results for your older printer. Even though it takes more time than using the CD, downloading the latest software can help you avoid installation issues.

    Downloading is the recommended method if your computer operating system released after the HP printer released.
    About the software:The software you can download from the HP website is most current software available for your printer. HP often updates software and drivers after the printer and CD release to the market.

Step four: Install the product software

To install the HP product on the wireless network, follow the steps for the method that you want to use (CD or download). Repeat the steps to install the software on each computer that will use the HP product wirelessly over the same network.

Follow these steps to install your printer over a wired (Ethernet) network.

Step one: Check the requirements

Make sure you have the following items:
  • One of the following types of wired access points or routers: Ethernet router, switch, hub, or wireless router with Ethernet ports
  • A computer that connects to the wired access point or router
  • A Category 5 Ethernet cable to use for the HP product. (Do not use a standard telephone cable.)

    Although an Ethernet cable looks similar to standard telephone cable, each has a different plug and a different number of wires. The plug on an Ethernet cable (also called an RJ-45 connector) is wide, thick, and always has eight wires. The plug on a telephone cable is narrower and has between two and six wires.

Step two: Change from a USB connection to an Ethernet connection (optional)

If you previously installed the software for a USB connection and now want to change to an Ethernet connection, follow these instructions to remove the USB installation before continuing.
  1. Right-click the Start button () or the lower left corner of the screen, and then click Search.
  2. Type HP in the search box, and then click the name of your printer when it displays. The printer software opens.
  3. Click Printer Setup & Software Selection.
  4. Click Connect a new printer, and then follow the on-screen instructions to set up the printer on your wired network.
  5. Disconnect the USB cable from the printer and the computer. Once the printer has been set up on the wired network, there is no need to continue with the steps in this document.

Step three: Connect the printer to the network

  1. Remove any plug or protective cover from the Ethernet port on the back of the product.

  2. Connect the Ethernet cable to the Ethernet port on the product, and then connect the other end of the cable to an available port on the wired access point or router.

  3. Connect the power cord to the product, and then plug it into an electrical outlet.

    • A computer that is connected to the wireless network

  2. Make sure that the printer, router, and computer are all turned on, and that the computer is connected to the same wireless network you want to connect the printer to.
  3. Disconnect any USB or Ethernet cable that is connected to the printer.
  4. Optional: If you previously installed the software for a USB connection and now want to change to a wireless network connection, follow these instructions to remove the USB installation before you continue.
    1. Right-click the Start button () or the lower left corner of the screen, and then click Search.
    2. In the Search box, type HP, and then click the icon for your printer. The printer software opens.
    3. Click Utilities, and then click Printer Setup & Software Selection.
    4. Click Convert a USB connected printer to wireless or Connect a new printer (the phrase differs depending on the version of software your computer is running).
    5. Follow the on-screen instructions to finish installing the software. Once the printer has been set up on the wireless network, there is no need to continue with the steps in this document.
