How to Send a Fax

Introduction

You can use the product control panel to send a black and white or color fax.

Before you start

To make sure that you can send a fax from the product, check the fax setup and turn on fax confirmation.

Step one: Test the fax setup

  1. Press Setup ().
  2. Press the right arrow button () to highlight Tools, and then press OK.
  3. Press the right arrow button () to select Run Fax Test, and then press OK.
The fax diagnostic test page prints.
  • If the product detects no issues with the fax setup, continue with the next step.
  • If the product finds any issues with the fax setup, follow the instructions on the fax setup test page to resolve the issue.

Step two: Turn on fax confirmation

  1. Press Setup ().
  2. Press the right arrow button () to select Print Report, and then press OK.
  3. Press the right arrow button () to select Fax Confirmation, and then press OK.
  4. Press the right arrow button () to select one of the following options:
    • On Fax Send: Print a confirmation page every time you send a fax.
    • On Fax Receive: Print a confirmation page every time you receive a fax.
    • Send & Receive: Print a confirmation page every time you send or receive a fax.
  5. Press OK.

How to send a fax

This document explains the various methods that you can use to send a fax. To go directly to the instructions for a specific fax method, click the section name in the following list:

Send a basic multipage fax

  1. Load all the pages of the original in the Automatic Document Feeder (ADF), with the printed side facing up. Slide the original into the ADF until a message displays on the control panel or a beep sounds that indicates that the product detects the original.
  2. Slide the paper width guides toward the edges of the original until they rest against the sides of the paper. Original loaded displays on the control panel.

  3. On the control panel, press the right arrow button () to select Fax B&W or Fax Color, and then press OK.
  4. Use the keypad on the control panel to enter the recipient’s fax number.
  5. Press the Start button (). The product sends the fax and prints a confirmation page.

Send a single page or photo fax

You can send a color fax from your product. If the recipient's fax does not support color faxing, the fax prints in black and white, instead of color. A message displays on the stating that the fax could not be sent in color.
  1. Lift the scanner lid, and then place the single page or photo face down on the scanner glass.
    NOTE:The engraved diagram on the lower right corner of the scanner glass shows you exactly where to place the document.

  2. Lower the scanner lid.
  3. On the control panel, press the right arrow button () to select Fax Color, and then press OK.
  4. Use the keypad on the control panel to enter the recipient’s fax number.
  5. Press Start (). The product sends the fax and prints a confirmation page.

Dial the fax recipient from a phone

If you want to call the fax recipient and talk to the person before you send the fax, you can dial the recipient from a phone connected to the product.
  1. Load the original into the product:
    • Multipage original: Load all the pages of the original in the Automatic Document Feeder (ADF), with the printed side facing up. Slide the original into the ADF until a message displays on the control panel or a beep sounds that indicates that the product detects the original. Slide the paper width guides toward the edges of the original until they rest against the sides of the paper.

    • Single page or photo original: Lift the scanner lid, place the single page or photo face down on the scanner glass, and then lower the scanner lid.

  2. On the control panel, press the right arrow button () to select Fax B&W or Fax Color, and then press OK.
  3. Pick up the phone connected to the product, and then dial the recipient on the phone.
    NOTE:To send a fax manually, you must dial the recipient on the phone. Do not use the keypad on the product.
  4. If the recipient answers the phone, you can talk to the recipient before you send the fax.
    If you do not hear the recipient answer the phone and you hear fax tones, a fax answered the call. Press Start () to send the fax.
  5. Ask the recipient to press Start on the recipient fax when the fax tones begin.
  6. To send the fax, press Start () on your product. The fax tones begin, and then the phone line becomes silent when the fax transmits. You can hang up the phone.
    NOTE:If you want to talk to the recipient after you send the fax, you do not have to hang up the phone. Wait until the fax transmission completes, and then you can talk to the recipient again.

Dial the fax recipient from the control panel (monitor dialing)

When you dial the fax recipient from the product control panel, you can hear the dial tones, phone prompts, or other sounds through the speakers on the product. This enables you to respond to prompts while dialing and to control the speed of your dialing.
  1. Turn the product volume on.
    1. Press Setup ().
    2. Press the right arrow button () to select Basic Settings, and then press OK.
    3. Press the right arrow button () to select Speaker Volume, and then press OK.
    4. Press the right arrow button () to select Soft or Loud, and then press OK.
  2. Load the original into the product:
    • multipage original: Load all the pages of the original in the Automatic Document Feeder (ADF), with the printed side facing up. Slide the original into the ADF until a message displays on the control panel or a beep sounds that indicates that the product detects the original. Slide the paper width guides toward the edges of the original until they rest against the sides of the paper.

    • Single page or photo original: Lift the scanner lid, place the single page or photo face down on the scanner glass, and then lower the scanner lid.

  3. On the control panel, press the right arrow button () to select Fax B&W or Fax Color, and then press OK.
  4. Use the keypad on the control panel to type the recipient’s fax number.
  5. Follow any instructions or prompts that you hear.
  6. Press Start () to send the fax.

Send a fax from memory

You can scan an original into the product memory, and then send the fax from memory.
NOTE:The product can send only black and white faxes from memory.
  1. Load the original into the product:
    • multipage original: Load all the pages of the original in the Automatic Document Feeder (ADF), with the printed side facing up. Slide the original into the ADF until a message displays on the control panel or a beep sounds that indicates that the product detects the original. Slide the paper width guides toward the edges of the original until they rest against the sides of the paper.

    • Single page or photo original: Lift the scanner lid, place the single page or photo face down on the scanner glass, and then lower the scanner lid.

  2. On the control panel, press the right arrow button () to select Fax B&W, and then press OK.
  3. Press the right arrow button () to select Enter Fax No., and then press OK.
  4. Use the keypad on the control panel to type the recipient’s fax number.
  5. Press Start () to send the fax.
    The product scans the original and sends the fax when the receiving fax becomes available. You can remove the original from the product when the scan completes.

Schedule a fax to be sent later

You can schedule a black and white fax to be sent within the next 24 hours. The product automatically sends your fax at the specified time. You can only schedule one fax to be sent at a time, but you can continue to send faxes normally after you schedule one fax.
  1. Load the original into the product:
    • multipage original: Load all the pages of the original in the Automatic Document Feeder (ADF), with the printed side facing up. Slide the original into the ADF until a message displays on the control panel or a beep sounds that indicates that the product detects the original. Slide the paper width guides toward the edges of the original until they rest against the sides of the paper.

  2. On the control panel, press the right arrow button () to select Fax B&W, and then press OK.
  3. Press the right arrow button () to select Send Fax Later, and then press OK.
  4. Use the keypad to type the time at which you want to send the fax, and then press OK.
  5. When prompted, press the right arrow button () to select AM or PM, and then press OK.
  6. Use the keypad on the control panel to type the recipient’s fax number.
  7. Press Start () to scan the original and schedule the fax.
    The product scans the original, and then the scheduled send time displays on the control panel display. The product sends the fax at the scheduled time.

Send a fax to multiple recipients using group speed dial

You can send a fax to multiple recipients by grouping individual speed dial entries into group speed dial entries.
NOTE:The product can send only black and white faxes using the group speed dial.
  1. Load the original into the product:
    • multipage original: Load all the pages of the original in the Automatic Document Feeder (ADF), with the printed side facing up. Slide the original into the ADF until a message displays on the control panel or a beep sounds that indicates that the product detects the original. Slide the paper width guides toward the edges of the original until they rest against the sides of the paper.

    • Single page or photo original: Lift the scanner lid, place the single page or photo face down on the scanner glass, and then lower the scanner lid.

  2. On the control panel, press the right arrow button () to select Fax B&W, and then press OK.
  3. Press the right arrow button () to select the group speed dial entry to which you want to send the fax, and then press OK.
    The product scans the original into memory, and then it dials the first phone number in the group speed dial list. When the recipient fax answers, the product sends the fax, and then it dials the next number in the group speed dial list.
    If a number returns a busy signal or does not answer, the product uses the Busy Redial or No Answer Redial settings. If the product cannot connect after using the Busy Redial or No Answer Redial settings, it dials the next number on the group speed dial list, and then an error report prints.
